InspectScribe ("we," "us," or "our") provides a mobile application and cloud services that help home inspectors create inspection reports using voice recordings, photographs, and AI-assisted drafting. This Privacy Policy describes how we collect, use, store, and share your information when you use our application and services (the "Service").
Plain language summary: We collect what we need to make the Service work. Your inspection data belongs to you. We don't sell your data to third parties.
1. Information We Collect
Account Information
When you create an account, we collect your email address and password (stored as a cryptographic hash). If you are part of an organization, we also store your organization membership and role.
Inspection Data
The core data you create while using the Service includes:
- Voice recordings - audio files recorded during inspections, used to generate transcriptions and report findings
- Photographs - images captured during inspections, which may include property exteriors, interiors, and building systems
- Inspection reports - findings, notes, severity ratings, and other content you create or edit within the Service
- Job metadata - property addresses, inspection types, job status, and timestamps
Device and Usage Data
Subscriptions: Paid subscriptions are not currently available in limited free early access. When enabled, Apple and RevenueCat process purchases and subscription status. InspectScribe sends RevenueCat your account identifier to associate access with your signed-in account. It does not send inspection photos, recordings, findings or property addresses to RevenueCat.
We collect standard technical data including device type, operating system version, app version, crash reports, and basic usage analytics (screens viewed, features used). We do not track your location unless you explicitly enable location tagging for a job.
Data Stored on Your Device
InspectScribe is designed to work offline. Inspection data (voice recordings, photos, draft reports) is stored locally on your device using an on-device database. This data syncs to our cloud servers when a network connection is available.
2. How We Use Your Information
We use your information to:
- Provide the Service - process voice recordings into transcriptions, generate AI-assisted report drafts, store and sync your inspection data, and produce PDF reports
- Improve the Service - analyze aggregate, de-identified usage patterns to improve features and fix bugs
- Communicate with you - send account-related emails (password resets, billing, critical service updates)
- Ensure security - detect abuse, enforce rate limits, and protect against unauthorized access
What we don't do: We do not sell, rent, or trade your personal information or inspection data to third parties for advertising or marketing purposes.
3. AI-Generated Content
InspectScribe uses artificial intelligence to assist with report drafting. Specifically:
- Voice transcription - your audio recordings are processed by third-party speech-to-text services to generate text transcripts
- Report drafting - transcripts and photo metadata are processed by AI models to generate structured report findings (titles, descriptions, recommendations, severity levels)
- Photo matching -AI may be used to associate photographs with relevant findings
AI-generated inspection content is a draft for your review. You must review findings and approve the final report before export. The app asks for permission before sending inspection evidence to Deepgram or OpenAI. You can decline or withdraw that permission in Settings while keeping local capture available; cloud AI processing requires permission.
4. Third-Party Services
We use the following categories of third-party service providers to operate the Service:
- Cloud infrastructure - database hosting, file storage, and authentication (Supabase / AWS)
- Speech and AI processing - Deepgram processes inspection audio for transcription. OpenAI processes transcripts, voice labels, selected photos, and inspection context for drafting and photo matching. These inputs can contain property or client information that you record.
- Report rendering - Vercel and Browserless process report text, selected images, and signatures to generate PDFs.
- Payment processing - Stripe processes inspection invoice payments. We store invoice and payment-status records; card details are handled by Stripe.
- Delivery and diagnostics - Resend and Twilio support email and SMS delivery. Sentry receives crash and performance diagnostics.
Providers process data under their applicable terms and privacy policies. Their retention and processing practices vary by service and account configuration. Contact us for questions about a specific provider or data request.
5. Data Storage and Security
Local Storage
Inspection data is stored in a local database and files on your device. The app does not add a separate database-encryption layer. Protect your device with a passcode and its operating-system security features. Local data persists offline and syncs to our cloud servers when connectivity is restored.
Cloud Storage
Synced data is stored in secure cloud infrastructure with encryption at rest and in transit. Files (photos, audio, PDFs) are stored in access-controlled storage buckets scoped to your organization.
Security Measures
We implement industry-standard security measures including encrypted connections (TLS), hashed passwords, row-level security policies on all database tables, JWT-based authentication with short-lived tokens, and rate limiting on API endpoints.

6. Data Retention
We retain your inspection data while your account is active. If you delete a job within the app, associated data is queued for deletion from our servers. To request account deletion, open Settings → Delete Account. For help with a request or an error, contact hello@inspectscribe.com. Inspection records belonging to an organization with other members remain available to that organization when you leave. Retention required by law and provider backup retention may also apply.
When upgrading an older installation, settings whose owner cannot be verified may be preserved in a recovery copy on that device. They are kept separate from the active account and are not assigned to another account. Contact support to arrange recovery or removal; deleting the active account does not automatically remove these older recovery copies.
If you use Sign in with Apple and automatic revocation is unavailable, the app explains how to remove InspectScribe under Settings → your name → Sign in with Apple after account deletion.
When subscriptions are enabled, account deletion requests removal of your RevenueCat customer record before removing your InspectScribe account. RevenueCat processes accepted deletion requests asynchronously. If that request cannot be confirmed, the app asks you to retry. Deleting your account does not cancel an Apple subscription: manage or cancel it in Apple subscription settings. Apple may retain transaction records under its own retention requirements.
7. Sharing and Disclosure
We do not share your personal information or inspection data except in the following circumstances:
- At your direction - when you share a report via the Service's sharing features, the recipient can view the report data you choose to share
- Service providers - with third-party providers who process data on our behalf (see Section 4), under appropriate agreements
- Legal requirements - if required by law, subpoena, or court order, or to protect our rights, safety, or property
- Business transfers - in connection with a merger, acquisition, or sale of assets, with notice to you
8. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data
- Export your data in a portable format
- Withdraw consent where processing is based on consent
- Object to certain processing activities

9. Children's Privacy
InspectScribe is a professional tool designed for licensed home inspectors. We do not knowingly collect information from children under 16. If you believe a child has provided us with personal information, please contact us and we will delete it.
10. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or through a notice in the application. The "Effective date" at the top of this page indicates when the policy was last revised.
